What are we looking for? 

We are looking for an individual who is creative, organised, enthusiastic, hardworking and has good written and verbal communication skills. This individual must be able to work under pressure, have ability to multi-task and use their own initiative. We are also looking for someone who has keen attention to detail, is forward thinking and quick to learn. Someone who is fun, polite, and outgoing would also be a bonus!

 

Job Description 

As an Event Assistant at Callow Event Management, you will work closely with our experienced event managers and suppliers and assist the team in bringing exciting event concepts from their fruition to completion.

Duties and Key Responsibilities will include, but not be limited to:

  • Support the Event Managers & Directors with administrative functions including drafting and updating event documents including budgets, events briefs and proposals, travel coordination, meeting coordination, office management and other general office support
  • Researching current event trends, new ideas, entertainment, and venues, all contributing to the creation of exciting event concepts
  • Assist on-site at a variety of events in different locations
  • Liaise closely with external suppliers to ensure the smooth delivery of events
  • Maintain good working relationships with clients and suppliers
  • Monitor and respond to client feedback

Working primarily Monday – Friday 9am to 5pm as well as additional evenings and weekends when events are taking place. 

A Callow Event Assistant will plan and organise their own workload to meet deadlines, take on responsibility and be expected to contribute, imaginatively and effectively to team objectives and longer-term goals.

 

Essential Criteria

  • 3rd Level Qualification preferably in Event Management although this is not essential
  • Proficiency in Microsoft Office applications – particularly Word, Excel, PowerPoint
  • Experience in organising an event either individually or as part of a team
  • Knowledge of the key components in project management and event planning
  • Attention to detail and accuracy in documentation – excellent oral and written communication skills

 

Desirable Criteria

  • 1 – 2 years’ experience in a similar event or administrative role
  • Full UK driving licence with access to a car during employment
